Terms and Conditions of Haya Online Girls’ School

Haya Online Girls’ School is delighted to have your child join our school. To ensure that the best is provided to your child, we have outlined a set of rules and conditions which will form the agreement between you (the parent/guardian) and the school. We advise you to read these terms carefully.

The following conditions represent a legally binding agreement for the provision of educational services to the students.

Introduction

Our school has aimed to draft these terms and conditions in a clear and accessible language, avoiding unnecessary jargon where possible. This agreement legally binds you and Haya Online Girls’ School. By enrolling your child, you automatically agree to the terms and conditions. The term “parents” is used throughout the document, as they are the primary audience for this part of the agreement.

Duration

This agreement is effective from the time your child begins learning at our school and will remain in effect until your child completes Year 11, and all payable fees and charges have been settled. If your child continues into Year 12 or Year 13, the agreement remains in effect until they complete Year 13, provided all fees are paid according to the conditions outlined below.

The Head Teacher

Parents are given the authority to authorize the Head Teacher at Haya Online Girls’ School, or to nominate a deputy to take such action in the event that the Head Teacher is deemed incapable or not acting in the best interests of the students.

Fees

Our website outlines all applicable fees and additional costs, including when they are to be paid and the purpose for which they are intended.

While the fees for each academic year are typically stable, they may occasionally increase. In such cases, parents will be notified at least 30 days in advance to prepare for the change. All fees must be paid into the school account jointly, and this avoids liabilities for those who sign the Conditions of Attendance.

For students in Key Stage 3 and 4, if tuition is discontinued, no refunds will be provided for additional subjects paid in advance.

The Academic Deposit will only be refunded once the academic year has ended, upon receipt of public exam results, and after all outstanding fees have been cleared.

If fees are not paid on time, the student may be excluded from attending classes and school activities until full payment or an agreed-upon payment plan is arranged. Parents are responsible for paying the full amount, including any legal fees, and any costs resulting from late payment.

Notice Period

Parents may withdraw their child from the school by providing a minimum of one term’s notice (three months). The notice should be submitted via email to info@hayaonline.school. Only email is considered an acceptable form of notice. It is strongly advised that parents consult the Head Teacher prior to the withdrawal to avoid missing important opportunities. Notice can be retracted only once, after which the decision becomes final. If the student wishes to remain at Haya Online Girls’ School, they will need to go through the application process again.

For students in Year 6, Year 11, and Year 13, withdrawal before the end of the academic year is not allowed, and the notice of withdrawal does not apply to them.

For students in Years 4, 5, 7, 8, 9, 10, or 12, notice can be given at any time. A leaver’s fee of £500 will be charged if a student is withdrawn before the end of the academic year. However, if the full year’s fees are paid, the leaver’s fee is waived. The notice of withdrawal must be given before the last day of the Summer Term.

The leaver’s fee helps cover any losses the school may incur and ensures stability in planning and staffing.

If no notice is received before the end of the Summer Term, the student will be re-registered for the following academic year, and the conditions for the new academic year will apply.

Confidentiality

At Haya Online Girls’ School, we prioritize the privacy and well-being of our students. Being an online school, we use social media and other platforms regularly, where students may appear. Parents and students must consent to the publication of videos, photos, posts, and other content related to learning before anything is shared publicly.

The school may also share relevant information with the press or on the school website. Consent will be sought from parents and students before such data is published.

Internet Security

Haya Online Girls’ School ensures that students use the school’s online facilities appropriately. However, students will be held responsible for inappropriate use of the school’s platform, email accounts, and online services. Parents are required to give consent for the monitoring of their child’s online activity.

Passwords will be used to protect students’ email accounts, and they will only interact with authorized individuals on secure platforms established by the school.

Data Protection

The personal information provided by parents and students is used solely for administrative purposes, such as:

  • Curriculum management
  • Publication of examination results
  • Providing references
  • School management purposes
  • Educational analysis
  • Marketing and public relations

This information will not be used for any purposes outside of school management and will only be shared with agents and service providers who help us fulfill these obligations.

By signing this agreement, parents consent to the use of sensitive data (e.g., health, religion, ethnicity) for school management purposes. A copy of the student’s information is available for parents to review, correct, or update upon request.

Learning Environment

Parents must ensure that their child has a suitable and comfortable place to study. Haya Online Girls’ School is not responsible for the student’s learning environment at home.

Login Credentials

Students’ usernames and passwords must remain confidential and should not be shared with anyone else to maintain the security of their information.

Discipline

The Head Teacher is responsible for ensuring the safety, well-being, and educational progress of every student at Haya Online Girls’ School. The Head Teacher has the authority to discipline students and staff as necessary. Parents and students must respect and accept the Head Teacher’s authority in matters of discipline.

In cases of serious misconduct, the Head Teacher has the authority to suspend or expel a student. Parents will be notified immediately of such disciplinary actions and will be informed of the reasons behind them.

Contract

This agreement is governed by the laws of the United Kingdom. We encourage parents to read and understand all sections, especially those related to fees and the notice period.

Consumer Contracts

If you are an EU resident, you have the right to cancel this agreement within 14 days of signing without providing a reason. However, if your child participates in any lessons or services by logging into the school platform, you waive this right and agree to the terms of early termination as outlined in the contract.
